The Operations & Accounting Coordinator plays a critical role in supporting the daily operations of the business, partnering closely with sales, customers, and leadership. This position blends administrative oversight, operational coordination, project tracking, customer support, and light bookkeeping/accounting responsibilities. This is an ideal role for someone who enjoys working in a hands-on, fast-moving small company environment, is highly organized, and thrives on coordinating details across multiple functions.

Responsibilities:

Operational & Administrative Tasks:

  • Coordinate and support day-to-day operational activities related to waterproofing technology projects in partnership with the sales team.
  • Assist in overseeing task execution related to the development, production, and delivery of products and projects, ensuring smooth workflows and timely completion.
  • Develop, document, and improve internal operational processes to enhance efficiency, organization, and consistency.
  • Ensure operational activities align with company objectives, quality standards, and customer expectations.
  • Serve as a central point of coordination across projects, customers, vendors, and internal stakeholders.

Project Coordination & Support:

  • Partner with the sales to help track projects from order through completion.
  • Monitor project timelines, documentation, and budget considerations; flag issues or risks proactively.
  • Assist with job cost tracking and basic budget support to help ensure projects remain within scope and financial expectations.

Financial & Light Bookkeeping Support:

  • Assist with basic bookkeeping and administrative accounting functions, working closely with the President and external CPA or bookkeeping partners.
  • Support accounts payable and accounts receivable processes, including:
    • Invoice generation and tracking
    • Vendor bills and payment coordination
    • Expense documentation and recordkeeping
  • Maintain organized financial records related to projects, customers, and vendors.
  • Assist with expense tracking and preparation of simple financial summaries or operational reports.
  • Provide documentation support for month-end and year-end close activities.

Customer & Stakeholder Support:

  • Serve as a primary point of contact for select customers, fostering strong long-term relationships.
  • Provide responsive communication, proactive follow-up, and coordination to support customer satisfaction.
  • Assist with order coordination, documentation, and post-sale support.

Qualifications:

  • 2 + years of experience in administrative operations, sales / project coordination, office management, or operations support.
  • Exposure to basic bookkeeping or accounting support (AP/AR, invoicing, expense tracking) is highly desirable
  • Highly organized, detail-oriented, and comfortable managing multiple priorities.
  • Strong communication skills and a customer-service mindset.
  • Comfortable working in a small company where responsibilities may evolve.
  • Proficiency with Microsoft Office (Excel, Word); experience with Monday.com or Capsule CRM software is a plus but not required.

Additional Info:

  • Pay: $55 -75K + bonus!
  • Location: Onsite in Coon Rapids
    • This role is primarily onsite, with situational flexibility. After you're fully acclimated to the role (around six months), there may be an opportunity to work from home one day per week. That said, because this is a small team, they value being onsite as much as possible to support learning, real-time collaboration, and relationship building. Overall, while some flexibility may be available over time, they're ideally looking for someone who genuinely enjoys an onsite work environment.
  • Type: Direct hire
  • Schedule: around 8am - 5pm Monday through Friday
